Email Archiving

Email Archiving Drives Requirements for Extra Storage

By early 2009, email archiving has become one of the leading drivers for businesses to purchase extra electronic storage on servers.

Email is now the main communication mechanism amongst businesses, and concerns over the safe storage and archiving of this form of communication has led to a growing number of regulations and standards.

Research by Osterman Research suggests that worldwide revenue for email archiving systems will grow from £400 million in 2008 to £1 billion in 2011.

With email being such an important method of business communication, there is a growing need to track messages. However, busy executives may have hundreds or even thousands of important email correspondences and need a simple way to find relivant data.

Happily many of the new email archiving systems include search tools to help locate important email messages quickly.

An email archiving system also allows deleted or lost emails to be retrieve quickly, much quicker than relying on simple email backup systems

In general, the need for these email archive systems is more evident among large enterprises than small and medium businesses. Although one obstacle to his may be lack of knowledge or strategic planning amongst medium sized organisations, another obstacle is cost or perceived cost. A full cost – benefits analysis would often show these systems to be worth the investment.

Service providers such as Data Capture Solutions are offering email archiving as a hosted service as one way to reduce prices. This option is gaining popularity and is one of the drivers for increases hosted storage space.

Data Capture Solutions offer their product MailStore, part of the Filestore software for email archiving.

MailStore is an email archiving solution that enables organisations to capture, manage and analyse their email related information. MailStore automatically captures email messages (plus attachments) and files them in a single, centralised email archive system in a fully text searchable format.

Emails are accessed by a .Net based web browser client which gives platform independence and allows access from any location.
